Configure activation emails

Workshare Professional/Protect 7.5 onward


You'll need...
To be an admin for your Workshare Connect account

 

When you install Protect and it is configured to work with the Protect Profile dialog or Advanced Email dialog, users will be registered against your Workshare online account. A validation email will be sent to each user that has the Protect client installed on their desktop. Only one automatic email is sent and only to these users.

The installation of Protect installs the Workshare Outlook COM Addin, and when the user first runs Outlook:

  1. Workshare obtains their email address and, if that email address is not already registered with Workshare, adds that email address to your Workshare account; AND
  2. Workshare sends an email so the user can validate their email address and create a password.
If you do not want your users to receive a validation email when they first run Outlook, you can disable it in the Admin Console BEFORE deploying Workshare across your organization. Each email address will still be added to your Workshare account, but it will remain unvalidated. Users will have the option to validate their email address later when they use Workshare online's sharing features. User must validate their email addresses to use these feature. 

Note: This scenario will only occur if Protect is configured to work with the Protect Profile dialog or Advanced Email dialog. 

To prevent an email from being sent when the user first runs Outlook:
  1. Before you deploy Workshare, go to my.workshare.com.
  2. Log in.
  3. Click your username in the Workshare topbar and select Admin Console.
  4. Select the Account Settings tab and select Email Preferences in the Account Settings menu on the left.
  5. The right of License Activation Emails, click OFF.

Note: If the Protect module is not selected during installation, no account is created and no activation emails will be sent even if License Activation Emails is set to ON in the Admin Console.
